Billing & payments
Prepare, accept and invoice a quote
Build a quote from job items, send a fixed version, retain acceptance evidence and convert it to an invoice.
Prepare items on the job
Open the job’s Details → Itemized Breakdown. Add labour, material or other items with a description, quantity and unit price. These items are the source for quotes and draft invoices. Quote and invoice forms do not have separate item-entry controls.
Create a quote
- Open the job’s Billing tab and choose Add Quote.
- Check the number, issue date and expiry date, then review the scope and copied items.
- Check tax, payment terms, requested deposit, exclusions and notes as needed. A requested deposit is not a received payment.
- Add the quote as a Draft and inspect its Details and paper preview. Select an editable row to change that part.
Drafts follow the job; sent quotes are fixed
Changing the job’s items or scope updates draft quotes. Tax entered as a rate recalculates; a fixed tax amount and any second tax need checking. Before the customer receives it, open the status menu, choose Sent and confirm. The quote is then locked. If the job changes later, the quote keeps its sent items and a notice explains the difference. Create another quote if you need to offer the revised work.
Share and record the response
- Inspect the PDF’s customer, business identity, items and total. Use the system Share action, or Share/Print on Mac.
- Once the customer agrees, change the Sent quote to Accepted and confirm. The acceptance date is recorded. Attach acceptance evidence if you have it; a signed PDF or a photo can be kept as proof.
- For a different response, use Rejected or Expired where offered. A final accepted, rejected or expired quote cannot be edited back into a draft.
Sending a PDF does not itself record acceptance. Record any actual deposit in the job’s Payments tab, not on the quote.
Convert an accepted quote
Choose Convert to Invoice on the Accepted quote. Review its copied items and tax, set invoice dates and type any advance received. Saving makes a Draft invoice; marking it Sent is a separate step. The conversion action is unavailable while the quote already has an active invoice.
Numbers and deletion
The app preserves your typed number and adds a short locked suffix. If two offline devices produce duplicate documents, inspect the warnings and the version the customer actually received. Deleting a quote does not delete job payments. Read the confirmation; deletion cannot be undone.
