App Lock, permissions and privacy
Control authentication and device permissions, and understand what stays on your devices.
Turn on App Lock
- Open the app’s Settings and enable App Lock.
- Complete the system authentication check. Depending on the device, this uses Face ID, Touch ID or a device passcode.
- When the app asks you to unlock, complete that system check or cancel and leave the app locked.
- To change the setting, follow the authentication prompt. Keep a working device passcode.
Understand the scope
App Lock authenticates opening the app; it is not a replacement for your device lock or control over exported files. Someone who has a shared PDF or spreadsheet can still open that copy. Review Shortcuts and system surfaces separately when deciding who can use your device.
Manage device permissions
- Camera: document scanning on iPhone/iPad. Use image/PDF import or manual entry if unavailable.
- Photos: selecting evidence and saving images when requested.
- Location: live mileage trips you start, including the access needed while the screen is locked.
- Calendar: optional task events.
- Notifications: local task and recurring reminders.
Where your information goes
Receipt reading and job suggestions are performed on your device. Private iCloud sync stores records in your Apple account when enabled. Address searches, trip start/end address lookups and optional route estimates use Apple’s mapping services. Subscription checks use Apple. Public tax-rule downloads contain rules, not your receipt data. You choose where to share exported files.
Delete and share thoughtfully
Read confirmations before removing business records. Deleting the app can remove its local records; unsynced data may not exist elsewhere. Deleting iCloud app storage is a separate, consequential action. Use the privacy policy for the app, website analytics and voluntarily emailed support information.
