Jobs & clients
Create and manage jobs
Maintain job items, client and schedule details, then track expenses, trips, billing and customer money.
Create a job
- Open Jobs and choose New Job or the add action. On Mac, use the header action or File → New Job.
- Follow the steps for job name and scope, category, items, client and schedule. Choose an existing client or create one.
- Add labour, material and other items with descriptions, quantities and prices. Check the total.
- Set the job status and dates, then save. Confirm the selected country and tax year show the new job.
Use the job tabs
- Details: client, schedule, notes, scope and Itemized Breakdown. Select an editable row to open just that part.
- Expenses: receipts assigned to this job. Scan, upload, enter or assign an expense using the offered actions.
- Trips: linked mileage records and the trip action.
- Billing: quotes and invoices. An accepted quote is required before creating an invoice.
- Payments: real money received and returned on the job, plus Billed, Received and Still to receive.
Tasks are created and managed on the Dashboard, not inside the job. You can still link a Dashboard task to a job.
On a narrow screen, swipe the tab row horizontally to reach Billing and Payments.
Edit items and understand document updates
Use the job’s Itemized Breakdown to add, edit or remove items. Draft quotes and draft invoices follow these changes. Sent/accepted quotes and sent invoices retain the items they were sent with. A draft invoice can therefore differ from its accepted quote; review the change notice before sending. Job estimates are separate from actual receipt spending and money received.
Keep country, dates and status accurate
Country and selected tax year affect which jobs appear. A job can span years. Read assignment and schedule-change warnings before accepting a change that unassigns incompatible receipts; unassigned receipts remain saved expense records. Changing job status does not create a quote, invoice or payment.
Archive jobs with money history
If a job has payments or an invoice that was ever sent, its delete action offers Archive or Archive Job. This preserves payment and invoice history and keeps it in exports. Find it under Archived. A job without money history can still be deleted; read that confirmation and any linked-record effects before proceeding.
Do not delete a payment merely to remove a job. Correct only mistaken payment entries; record money actually refunded as Money returned.
